Data Protection and Compliance with GDPR regulations

Nottinghamshire Scouts Activities complies with the Data Protection legislation. In all matters an individual’s personal information is held in compliance with the regulations. Nottinghamshire Scouts Activities holds information of members of Nottinghamshire County Scout Council and website users so that the administration of membership can be undertaken with the purpose of achieving the purpose of the company which is the development of young people.

All adult members of Nottinghamshire County Scout Council are required to undertake the online GDPR training as provided by the Scout Association. This is maintained on the Compass membership system. Compass is administered by the Scout Association. Members are asked to access their own profile regularly so they can keep it correct.

Nottinghamshire Scouts Activities has agreed a Data Protection Policy. All members who access the personal information of anyone else is required to understand this policy and to comply with it.

All personal information collected for administration and events on behalf of Nottinghamshire Scouts Activities must have a Data Protection statement.

Website

The Nottinghamshire Scouts Activities websites use cookies and tracking for visitor analysis. The tracking software implemented on this website is Google Analytics, a web analytics service offered by Google that tracks and reports website traffic, for analysis by our website development teams.  

Subject Access

Anyone whose personal information is held by Nottinghamshire Scouts Activities may access it simply by asking for it.  However, in accordance with the regulations persons may submit a Subject Access Request.  This will be processed in accordance with the regulations.  To make a Subject Access Request, please email [email protected].

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you upload images to the website, you should be aware that other visitors may be able to download and extract any embedded data; you should therefore examine your images to your satisfaction before uploading them.   

Contact Forms

When you use a contact or event registration form, your information will be used for the purpose stated with the form.  Cookies may be used to identify your preferences and provide a better service to you. There are separate privacy policies for our third party providers, Evboo and Ticksy which are used for event registrations and contact forms respectively.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Analytics; Who we may share your data with

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. 

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. 

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service – a WordPress Spam Detection tool. Jetpack by WordPress is a UK-based software to support Nottinghamshire Scouts Activities with minimising – but not eliminating – spam content.  

Unauthorised Access to personal data in the website

Unauthorised access to the personal data of visitors to the website would constitute a data breach.  The security of the website has been risk assessed and it is believed to be good.  Any data breach discovered will be reported to the Data Protection Officer for investigation, rectification and logging or reporting.

This website is hosted by Nottinghamshire Scouts Activities on the 1&1 IONOS platform. The data centre for IONOS is in London, England.
